1. Who we are

The SafeServe Group is the data controller for personal data collected through this website and app. You can contact us at: contact@safeservesolutions.co.uk

2. What data we collect

We collect the following personal data:

• Waitlist signups: name, email address, and business name (where provided)
• Demo bookings: name, email address, and any information shared through Calendly
• App users: name, email, business name, and compliance records entered into the app (e.g. temperature logs, staff records, HACCP data)
• Technical data: IP address, browser type, and pages visited (via standard web server logs)

3. How we use your data

• To contact you about your waitlist position and early access
• To provide and improve the SafeServe Kitchen app
• To respond to demo requests and enquiries
• To send product updates (only if you have opted in)
• To comply with legal obligations

4. Legal basis for processing

We process your data on the following legal bases:

• Consent - for marketing communications and waitlist sign-up
• Contract - to provide the app and associated services
• Legitimate interests - to improve our product and respond to enquiries

5. How long we keep your data

Waitlist and enquiry data is held until the app launches and you have been contacted, and for up to 2 years after that unless you request earlier deletion.

Food safety compliance records (temperature logs, checklist completions, cooking records, illness logs, HACCP plans, calibration records, and all other records entered into the SafeServe Kitchen app) are retained for a minimum of 7 years from the date of entry. This is a legal requirement under the Food Safety Act 1990 and the Food Hygiene (England) Regulations 2006, and we are legally obliged to comply regardless of account status.

When an account is closed, access is deactivated and personal identifiers are removed where possible, but the underlying food safety records are retained for the full 7-year period. After 7 years, these records are permanently deleted. Account information and billing records are retained for up to 6 years after closure in line with UK contract law.

6. Who we share your data with

We do not sell your personal data. We share it only with trusted third-party service providers who process it on our behalf:

• Web3Forms - form submission processing
• Netlify - website hosting
• Calendly - demo booking
• Supabase - app database and authentication

All providers are contractually required to keep your data secure and process it only for the purposes we specify.

7. Cookies

This website uses only essential cookies required for the site to function. We do not use tracking or advertising cookies. See our Cookie Policy for full details.

8. Your rights

Under UK GDPR you have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request deletion of your data ("right to be forgotten") — note that food safety compliance records must be retained for 7 years under UK law and cannot be deleted earlier; this legal obligation overrides the right to erasure (Article 17(3)(b) UK GDPR)
• Object to or restrict processing
• Withdraw consent at any time
• Lodge a complaint with the ICO at ico.org.uk

9. Security

We take reasonable technical and organisational measures to protect your personal data. App data is stored securely via Supabase with encryption at rest and in transit. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

10. Changes to this policy

We may update this policy from time to time. The date at the top of this page will reflect any changes. Continued use of the site or app after changes constitutes acceptance of the updated policy.
