What food hygiene records does UK law require?

UK food law (Regulation EC 852/2004, retained post-Brexit) requires all food businesses to maintain a documented food safety management system. EHOs will ask to see these records during every inspection.

Legally required

HACCP Plan & Monitoring Records

Your written food safety management system, including Critical Control Points, hazard types, monitoring procedures and corrective actions. Must be reviewed when your menu or processes change.

Legally required

Temperature Logs

Daily records of refrigeration and freezer temperatures, cooking core temperatures, and delivery temperatures. EHOs typically want to see at least three months of daily readings.

Legally required

Allergen Information

A written record of the 14 major allergens in every dish you serve. Under Natasha's Law, pre-packed for direct sale food must be labelled. EHOs check allergen procedures as standard.

Legally required

Cleaning Schedules

A documented cleaning schedule showing what is cleaned, how often, and signed off as complete. Surface-level cleanliness is visible; a written schedule proves the system exists.

Best practice

Staff Training Records

Food hygiene certificates, induction sign-offs and ongoing training records for all food handlers. EHOs may ask to see evidence that staff handling food have been trained.

Best practice

Supplier Delivery Records

Records of goods received, including supplier name, delivery temperatures and any rejections. Demonstrates your food safety system extends to your supply chain.

Paper records vs digital records

Paper food hygiene records are legally accepted, but they create unnecessary risk and admin overhead. Here is how the two approaches compare.

Area Paper records SafeServe Kitchen
Time to complete daily records 10-20 minutes, often incomplete Under 3 minutes on phone or tablet
EHO inspection preparation Hours searching through folders One-tap PDF export, ready in seconds
Risk of lost or damaged records High - fire, flood, spills Stored securely in the cloud
Missed or incomplete records No alerts, gaps go unnoticed Manager dashboard shows outstanding tasks
Allergen accuracy Manual spreadsheets, prone to error Auto-detected from ingredients, flagged on change
HACCP plan maintenance Separate document, often out of date Built from your kitchen setup, prompts on change

How SafeServe Kitchen works

Set up takes about 20 minutes. After that, your team completes daily records on their phone or tablet - no paper, no folders, no chasing.

1

Tell us about your kitchen

Enter your equipment, the food types you prepare, and your 14-allergen menu. SafeServe Kitchen uses this to generate your HACCP plan and set up the right daily checks automatically.

2

Complete daily checks on your phone

Each morning, your team opens the app and works through the day's required checks - temperatures, opening hygiene, deliveries, cleaning sign-offs. Records are saved and timestamped automatically.

3

Export everything when your EHO arrives

One tap from the portal generates a complete EHO-ready PDF covering your HACCP plan, temperature history, allergen register, cleaning records and corrective actions - exactly what inspectors look for.

Common questions about food hygiene records

What food hygiene records am I legally required to keep?
UK food law requires a food safety management system based on HACCP principles, including temperature monitoring records, cleaning schedules, allergen information and evidence of staff training. EHOs will ask to see at least three months of daily records during an inspection.
Are digital food hygiene records accepted by EHOs?
Yes. Digital records are fully accepted by Environmental Health Officers and are increasingly common. They are timestamped automatically and cannot be backdated, which EHOs often view favourably. SafeServe Kitchen lets you export all records as a PDF at any time.
How long do I need to keep food hygiene records?
The FSA recommends a minimum of three months. SafeServe Kitchen keeps all records permanently, so you always have a complete history available regardless of how long ago a record was made.
What happens if my food hygiene records are incomplete?
Incomplete records are one of the most common causes of a Food Hygiene Rating below 3. A low rating must be displayed at your premises and can damage customer confidence. In serious cases, improvement notices or prosecution are possible. SafeServe Kitchen's manager dashboard flags any outstanding or overdue records before they become a problem.
Does SafeServe Kitchen work for takeaways and cafes, not just restaurants?
Yes. SafeServe Kitchen is designed for any UK food business handling and serving food - restaurants, takeaways, cafes, pubs, school kitchens, care home kitchens and hotels. The app adapts to your kitchen setup and the food types you prepare.
